Cheryl & Shea Bailey, of Yellow Umbrella Events, a destination wedding event company, have been amazing with helping us with all the booking details. They have worked to secure a group rate with the resort and will be helping all of our guests book their travel accommodations for our wedding on Friday, November 26th, 2021.

The room categories listed above were selected by Megan & Christopher for their contracted room block. There are only a certain number of rooms available (listed above) in each category and are on a first-come, first-serve basis. 

 

Trip Deposit & Payment Schedule

  • A $100.00 per person deposit is all you need to reserve your room.
  • June 22nd, 2021 is the deadline to get a guaranteed reserved room. Any reservations requested after that date are based on availability and not guaranteed.
  • Additional payments towards your balance can be made at any time (monthly) by contacting Shea before the final payment is due.
  • 60% of your trip is due by June 23rd, 2021.
  • The full payment of your trip is due by August 31st, 2021.
  • I will need your Flight Information by September 22nd, 2021 to give to the transportation company to arrange your ground transportation to the resort. You can send it to me by filling out the form on this page.

Riviera Maya & Cancun area Eco Tax

*As of January 1st, 2019, The government of the Municipality of Benito Juarez Quintana Roo has added an Environmental Tax applicable to all visitors per room per night. A tax of 26 Mexican pesos, (approx. 1.40 USD) per room, per night. This amount is not included in your vacation price and will be collected at your hotel upon check-out. These funds are being used to protect, maintain, and conserve the natural beauty of the destination the area, and its surroundings.

Child Room Rates

  • Children 3 years old and younger stay for free when sharing a room with parents. However, they still have to pay for ground transportation ($38.76 round-trip).

Travel Protection

Having travel protection is definitely important and I recommend it for everyone. I personally buy it for trips. However, the option to purchase travel insurance is solely up to you.

Depending on the option you select it may cover between 75% – 100% of a trip cancellation and many other things like unexpected medical expenses, baggage and flight delays.

There are 2 different kinds of policies to choose from and since I’m not an insurance agent and therefore cannot answer questions regarding any travel insurance policies I have found that this is the easiest way to compare them. This is the insurance company we personally like and suggest but you are welcome to purchase Travel Protection through any entity that you choose.

You will need to answer a few questions about your trip and then you’ll receive policy options and pricing. This link will give you 2 different plan options (Worldwide Trip Protector Plus & Worldwide Trip Protector) as well as optional add-on coverage for other areas of your trip.

The “Worldwide Trip Protector Plus” policy option includes CFAR (Cancel for Any Reason). However, you must purchase the insurance no later than 21 days from the day you make your reservation. FYI, CFAR is not available for New York State residents.

The Worldwide Trip Protector plan, which does not include the CFAR option, can still be purchased after 21 days from the time you booked but it will not cover the Pre-Existing Condition Exclusion Waiver or the Bankruptcy/Default of an airline, cruise line, tour operator or other travel providers. However, you can still cancel for a covered reason and potentially get up to a 100% refund as long as it’s a covered reason.

I strongly suggest that you call and verify what each policy covers if you have any questions. You can reach an insurance agent at 1-800-243-3174.

FYI, not purchasing travel protection could result in the loss of your travel cost and/or require more money to correct the situation. Without the protection, there may be no way to recoup any losses, costs or expenses incurred and the price of Travel Protection IS NOT included in the price of the room selections and is non-refundable.

BOOKING INFORMATION

*Very Important – Please Read*

To be considered a part of Megan & Christopher’s Wedding Group, you must book through this group room block and not through any other method (even directly with the hotel). We offer competitive group rates and have secured a room block to make this as easy as possible. To participate in all of the wedding-related activities, you must stay at Hard Rock Cancun as part of the wedding group.

If you do not make your reservation within this room block and stay at a different hotel/resort, there will be an additional $119 per adult and $58 per child between 4-12 (subject to change) for a Wedding Pass to attend the wedding ceremony and related events. If you stay at a different resort other than Hard Rock Riviera Maya you will only be guaranteed access on the day of the wedding (November 26th, 2021) and will be escorted off of the property at 11:00 PM, no exceptions. Guests will be required to present valid identification at the Hotel’s front desk prior to purchasing a wedding pass.

 

Reservation Cancellation Policy

If you do not purchase the travel insurance and have to cancel your reservation you still may be responsible for the full amount of your reservation plus the $100 per person cancellation fee depending on when you cancel (see the section in blue below).

If you purchase the travel insurance and have to cancel you will be refunded the amount according to the travel insurance guidelines minus the cost of the insurance, but you are still responsible for the $100 per person cancellation fee.

Once a reservation is booked there is a $100 per person cancellation fee with no regard to the reason for the cancellation. This cancellation fee also applies to all cancellations that result in a re-booking.

 

If you cancel your reservation by June 22nd, 2021 you are only responsible for the $100 per person cancellation fee. 

If you cancel your reservation between June 23rd and August 30th, 2021 you will be responsible for 60% or your room total plus the $100 per person cancellation fee. If you have travel insurance you can file a claim to get a refund based on their terms.

If you cancel your reservation after August 30th, 2021 you are responsible for 100% or your room total plus the $100 per person cancellation fee. If you have travel insurance you can file a claim to get a refund based on their terms.

Yellow Umbrella Events is not an agent of the Hotel and has no control over refund policies and other rules mandated by the Hotel.

 

Any changes made to your booking after the balance due date will be subject to a $25 per person change fee. Any changes requested after the balance due date must be paid for in full upfront even before they are confirmed.

Can I use a different credit card to make additional payments?
Yes. All you need to do is fill out the form on this page. As soon as I receive the information I’ll make the payment and email you the receipt.

 

Can my roommate(s) pay for their portion of the room on a separate card or does it have to be all on one card?
Yes, they can pay using a different credit card. However, when you fill out the reservation form it will only allow you to add 1 credit card. If they want to use their own credit card all you need to do is add a note in the “Additional Information” section at the bottom of the reservation form and tell me who will be using another credit card. You can then submit their credit card info to me by filling out the form on this page.

 

Can I make additional payments before the final payment date?
Yes, you can make additional payments at any time. Just send me an email telling me how much you want to pay and if I should use the credit card I have on file for you. If you want to use a different credit card you can send it to me by filling out the form on this page.

 

Can I set up a payment schedule?
Yes. Just email me with how much you want to pay, what credit card to use, and on what dates you want me to make the payments.

 

I filled out the reservation form but I didn’t get an immediate confirmation.
When you fill out the reservation form it does not automatically make your reservation or charge your credit card. The information is sent to me so I can review it first. If I have any questions I will reach out to you for verification. As long as everything looks good I will make the reservation and email you a receipt showing the payment and another email with information about your reservation. FYI, If you fill out the form after business hours (5:00 pm CST) or over the weekend it may be the next day before you receive a confirmation.

 

Can I add someone else to my room after I’ve made my reservation?
Yes, you can always add a person to your room after your reservation has been made as long as it doesn’t go above the room occupancy limit. If you’re waiting to make a reservation because you’re not sure if someone will be with you in the room, I suggest you go ahead and secure your reservation now and then add them later.

 

The other person in my room can’t make it. Can I switch them with someone else?
Yes. Just send me an email with the name of the guest to be removed along with the name (as it appears on their passport) of the new guest, their birthday, and email address. Once I have this information I’ll make the adjustment. If you are just switching guests the $100 cancellation fee is not charged to the person being removed from the reservation.

 

I can’t make it to the wedding and need to cancel my reservation. What do I do now?
First, send me an email (I have to have it in writing) letting me know you need to cancel your reservation. I will then email you a link so you can make the $100 per person cancellation fee payment. Once this has been paid I will request the room cancellation.

If you purchased the travel insurance and have to cancel you will be refunded the amount according to the travel insurance guidelines minus the cost of the insurance, but you are still responsible for the $100 per person cancellation fee.

If you did not purchase the travel insurance you may still be responsible for additional fees above and beyond the $100 per person cancellation fee which could possibly include the full amount of the room reservation.

 

I don’t see a way to RSVP on the website. How can I do this?
There is no official way of doing this through our website. Most people contact the wedding couple directly and let them know. However, I do keep a list of people who have already made a room reservation and those who have emailed letting me know they will not be attending the wedding so I can send an update to the wedding couple.

 

Will everyone in our group have rooms next to each other?
No, not necessarily. This will depend on a few factors like the type of room category each person books and how full the resort is at the time of the event.

 

Can I request a room next to someone else?
When you make your reservation you can send the request to me in the “Additional Information” section at the bottom of the reservation form and I will pass it along to the resort. They will do whatever they can to honor your request but it is not guaranteed.

 

Does the transportation company have a car seat for my baby?
If you need a car seat please let me know in advance so I can request it. Also, they charge approximately $30 each way and require payment in cash when you arrive.

 

Do I need to take electrical converters?
No. Mexico has the same electrical outlets as we do in the U.S.
