Cheryl & Shea Bailey of Yellow Umbrella Events, a destination wedding travel company, have been amazing in helping us with all the resort details. We have set up a wedding room block with the resort, specific to our group, and Yellow Umbrella Events will be assisting all our guests in reserving your rooms for our wedding on Saturday, October 26th, 2024.

Adding Nights/Guests Upon Arrival at Hotel Xcaret

As soon as the first person from the group has arrived at the resort we are not allowed to add extra nights or guests to your reservation. You will have to go to the front desk to add them. Also, the resort will not honor the contracted room rates and you will have to pay whatever the current room rate is at that time.

Adults-Only Suites and Casa Artistas: What’s the difference?

Hotel Xcaret Arte resort allows guests 16 years of age and older. However, the “Adults Only” suites, located exclusively in the Casa Artistas building, are exclusively for guests aged 18 years and above. This building is the closest to the beach with the most direct walking access.
Casa Artistas “Adults Only” room categories include the following additional perks:
Guests 18 years and older staying in Junior Suites, Master Suites, and Presidential Suites also receive these additional benefits.

Cancellation Policy

Hotel Xcaret Arte- Ocean Front Adults Swim Up
If you cancel your reservation by April 15th, 2024 you are only responsible for the $100 per person cancellation fee. However, you can reduce the number of nights in your reservation up to this date without a cancellation fee.
If you cancel your reservation between April 16th, 2024, and August 19th, 2024, you will be responsible for 50% of your room total. Also, if you reduce the number of nights in your reservation you will be responsible for 50% of the nights reduced. If you have travel insurance you can file a claim to get a refund based on their terms.
If you cancel your reservation or reduce the number of nights in your reservation on or after August 20th, 2024, you are responsible for 100% of your room total. If you have travel insurance you can file a claim to get a refund based on their terms.
Additionally, the resort will not allow the following modifications/changes to your reservation on or after August 20th, 2024:
  • Downgrading a room category
  • Decreasing the number of nights in your reservation
  • Removing a guest from your reservation (reducing the occupancy level in your room)
This resort will not allow any changes, including name changes, to your reservation after October 3rd‎, ‎2024.
What can you do with your reservation between August 20th, and ‎October 3rd, ‎2024?
  • Upgrade your room category, if an upgraded room category is available.
  • Add extra nights, if additional nights are available.
  • Add an additional guest or make a name change.
The resort will not provide a credit or voucher for future travel if you arrive after your scheduled arrival date, if you check out early, or do not travel on the dates selected for this reservation for any reason.
Yellow Umbrella Events is not an agent of the Hotel and has no control over refund policies and other rules mandated by the Hotel.

To be considered a part of Alexa & Joe’s Wedding Group, you must book through this group room block and not through any other method (even directly with the hotel). We offer contracted group rates that have been secured through a room block to make this as easy as possible. To participate in all of the wedding-related activities, you must stay at Hotel Xcaret Arte as part of the wedding group.
If you stay at a different hotel/resort other than Hotel Xcaret Arte you will be considered a Non-Guest and will be charged an additional fee of $80.00 USD per person to attend the wedding ceremony and related events. Guests 18 years old and up are required to present an official ID to access the hotel. These guests are welcome to arrive 30 minutes prior to the ceremony and must depart the resort immediately following the end of the event.
Insurance policy
If you do not purchase travel insurance and have to cancel your reservation you may still have to pay for part or the full amount of your reservation.
If you purchased the travel insurance and have to cancel you will be refunded by the travel insurance company according to the travel insurance guidelines, but you are still responsible for the $100 per person cancellation fee.
Once a reservation is booked there is a $100 per person cancellation fee with no regard to the reason for the cancellation. This cancellation fee cannot be reapplied to a later re-booking.

Travel Insurance

**If you have any questions about travel insurance, please give Travel Insured a call at 800-243-3174. We (Yellow Umbrella Events) are not a licensed insurance company and cannot legally answer any insurance-related questions.**
FYI, not purchasing travel insurance could result in the loss of your travel cost and/or require more money to correct the situation. Without insurance, there may be no way to recoup any losses, costs, or expenses incurred. The price of travel insurance IS NOT included in the price of the room selections and is non-refundable once purchased.
Having travel insurance is definitely important and we recommend it for everyone. We personally buy it for our trips. However, the option to purchase travel insurance is solely up to you and you may purchase it through any insurance company.
This website (Travel Insured) offers a very comprehensive policy called the “Worldwide Trip Protector” plan with optional add-ons like CFAR (Cancel For Any Reason), Optional Bed Rest which helps cover onsite quarantine expenses, and other add-on options. Travel Insured is the insurance company we personally use and suggest to others but you are welcome to purchase travel insurance through any entity that you choose.
If you want the CFAR (Cancel for Any Reason) benefit you will have to add it to the policy and you must purchase the insurance no later than 21 days from the day you make your initial payment.
When you click on the link you will need to answer a few questions about your trip and then you’ll be redirected to a page with the policy information and pricing.
The basic “Worldwide Trip Protector” plan, which does not include the CFAR or Optional Bed Rest options, can be purchased at any time, including after 21 days from the time you paid your initial payment but it will not cover the Pre-Existing Condition Exclusion Waiver or the Bankruptcy/Default of an airline, cruise line, tour operator or other travel providers. However, you can still cancel and potentially get up to a 100% refund as long as it’s a covered reason.
We strongly suggest that you call and verify what the policy covers if you have any questions. You can reach an insurance agent at 800-243-3174.

Included Ground Transportation

Included in your reservation is Hotel Xcaret’s shuttle transportation from the Cancun (CUN) Airport to Hotel Xcaret and back to the Cancun (CUN) airport.
*Gratuities are not included*
Transportation operates every 30 minutes starting at 5:45 a.m. through 9:00 p.m. and every 1 hour from 9:45 p.m. through 5:45 a.m.
For Arrivals
After clearing customs and collecting your luggage, proceed outside the airport and look for the resort’s transportation staff who will be holding a sign that says “Hoteles Xcaret” (see pictures below).
You must exit the arrival hall bypassing all representatives inside the airport trying to get your attention. These representatives are there to sell time-share and may be a representative for your hotel, but are not your transportation provider.
For Departures
Please see the Concierge desk at least one day before departure to register for your transfer back to the airport.
IMPORTANT:
  • Hotel Xcaret’s included shuttle transportation ONLY offers service from the Cancun (CUN) Airport to Hotel Xcaret and back to the Cancun (CUN) airport.
  • This transportation is a complimentary service that is included in your reservation rate and has no cash value, so there are no reductions in price or refunds if the transportation is not used.
  • The shuttle WILL NOT drop you off or pick you up at any other location other than Hotel Xcaret Mexico/Arte and the Cancun Airport.
  • Officially, shuttle transportation services are only provided for your actual check-in and check-out dates. If you arrive in the area any date earlier than your check-in date or depart any day later than your check-out date you will need to arrange your own transportation to wherever you are going and to/from Hotel Xcaret on your actual check-in/check-out dates.
Some guests who arrived earlier than their official check-in date have found success in receiving the included transportation by returning to the arrivals section of the Cancun airport on their actual check-in date, but some guests have not been able to access this area due to airport security protocols. The official word from the resort is that this is not allowed, so if you plan to attempt to utilize the shuttle transportation in this way, please note that this will be at your own risk. If you attempt to return and are not able to access the Cancun Airport arrival section or are denied shuttle transportation once on site, you will be responsible for your own transportation to the resort and the costs associated with this; the resort and Yellow Umbrella Events are unable to assist you with alternate transportation.
If you plan to go anywhere other than the Cancun airport on your official resort departure day, you will be responsible for managing your own transportation. Check-out is at 12 PM but you can stay and access the resort (not the parks) until 6 PM on your check-out date. Hotel Xcaret offers luggage storage until you depart. Late check-outs must be requested directly with the resort once you arrive. Yellow Umbrella Events cannot make this request for you.
Once you depart the resort on your departure date, you will no longer be able to access the resort. This means that you will not be able to return to the resort on any other date to utilize the shuttle transportation to return to the Cancun Airport. If you need assistance with transportation once on site, please visit the Guest Services Desk and they can assist you.

Americans with Disabilities Act

Since the hotel is not located in the United States, they’re not required to be in compliance with the U.S. Americans with Disabilities Act of 1990. The Hotel has a limited number of accessible guest rooms that are available on a first-come, first-served basis. We can request an accessible room for you but it’s never guaranteed.
Also, public areas and restaurants at the Hotel are wheelchair accessible, just not wheelchair friendly. If you need to rent a wheelchair, scooter, or oxygen tank you can do so through Playa Mobility. Click here to visit their website.
Although transportation is included, we find that the resort’s accessible shuttle is not always available or reliable. For this reason, we would advise all guests that are mobility challenged to arrange for private accessible round trip transportation, for the best experience. We (Yellow Umbrella Events) do not track wedding RSVP’s, we only manage the room reservations for the couple.
It is recommended you make reservations 30 days prior to arriving. FYI, Yellow Umbrella Events will send everyone an email with your confirmation numbers and instructions on how to make reservations about 30-35 days before you depart.
Yes. All you need to do is fill out the form on this page. As soon as we receive the information we’ll make the payment and email you the receipt.
Yes, they can pay using a different credit card. However, when you fill out the reservation form it will only allow you to add 1 credit card. If they want to use their own credit card, all you need to do is add a note in the “Additional Information” section at the bottom of the reservation form and tell us who will be using another credit card. You can then submit their credit card info to us by filling out the form on this page.
Yes, you can make additional payments at any time. Just send us an email telling us how much you want to pay and if we should use the credit card I have on file for you. If you want to use a different credit card you can send it to us by filling out the form on this page.
Yes. Just email us with how much you want to pay, what credit card to use, and on what dates you want me to make the payments.
When you fill out the reservation form it does not automatically make your reservation or charge your credit card. The information is sent to us so we can review it first. If we have any questions we will reach out to you for verification. As long as everything looks good we will make the reservation and email you a receipt showing the payment and another email with information about your reservation. FYI, If you fill out the form after business hours (5:00 pm CST) or over the weekend it may be the next day before you receive a confirmation.
Yes, you can always add a person to your room after your reservation has been made as long as it doesn’t go above the room occupancy limit. All you need to do is send your dedicated reservation specialist the following information. 1. Their name as it appears on their passport. 2. Their birthdate. 3. Their email address. 4. Arrival Date 5. Departure Date If you’re waiting to make a reservation because you’re not sure if someone will be with you in the room, we suggest you go ahead and secure your reservation now and then add them later.
Yes. Just send your dedicated reservation specialist an email with the name of the guest to be removed from the reservation along with the following information for the new guest taking their place. 1. Their name as it appears on their passport. 2. Their birthdate. 3. Their email address. 4. Arrival Date 5. Departure Date Once we have this information we’ll make the adjustment. If you are just switching guests the $100 cancellation fee is not charged to the person being removed from the reservation.
First, send us an email (we have to have it in writing) letting us know you need to cancel your reservation. If you purchased the travel insurance and have to cancel you will be refunded the amount according to the travel insurance guidelines once you submit your claim, but you are still responsible for the $100 per person cancellation fee. If you did not purchase the travel insurance, you may still be responsible for additional fees above and beyond the $100 per person cancellation fee which could possibly include the full amount of the room reservation.
No, not necessarily. This will depend on a few factors like the type of room category each person books since each room category could be in different areas of the resort and how full the resort is at the time of the event.
When you make your reservation you can send the request to us in the “Additional Information” section at the bottom of the reservation form and we will pass it along to the resort. They will do whatever they can to honor your request but it is not guaranteed.
No. Mexico has the same electrical outlets as we do in the U.S.
Mexico has banned smoking in all public places effective January 2023. Some of the places tourists can no longer smoke in include beaches, parks, hotels, and restaurants. If you are caught smoking in public, you may be fined. The resort has recently added designated outdoor smoking areas for smokers.

Electronic or vaping devices and solutions are illegal in Mexico. People who are caught with these items may have them confiscated and may also be fined or detained. If you have any questions about smoking or vaping please reach out to the hotel.

Nature, gastronomy, archaeology, and spectacular traditions come together to celebrate life in this family park, the most emblematic of the country. Coming to Xcaret is to fall in love with the greatness of Mexico.

XOXIMILCO CANCÚN

The only fiesta for the whole family! Have fun at a traditional Mexican fiesta, as you dance and sing with live Mariachi aboard colorful barges along the canals of Xoximilco. You can also enjoy our Theme Nights! Xoximilco Retro, on Tuesdays and Fridays, bring back the 90s hits, and on Thursdays you can live the nights of Juan Gabriel.

XAVAGE PARK

Unleash your wild side in extreme adventures.
Whether you prefer adrenaline activities or something more peaceful, Xavage has an option for you. Enjoy an entertaining kayak ride, and overcome the challenges of a fun ropes course suspended in the air. Additionally, you have the option to choose between four adrenaline activities: driving an off-road vehicle on an exciting obstacle course, enjoying the speed of an unpredictable jet boat ride, flying horizontally on a zip-line, or taming the waters of the only rapids in the Riviera Maya.

VELEO XAILING

XEL-HÁ PARK

Xel-Há is a natural park of incomparable beauty that provides everything from fun, snorkeling, food, relaxation, nature, breathtaking scenery and world-class service.
Walk or bike through the trails of the jungle of this natural wonder of Mexico. Enjoy a whole day snorkeling in the cove and in the river, and enjoy the view from the Scenic Lighthouse before descending into a natural pool.
Children and adults will be able to do zip-line activities, swim among different species of fish, and cross a fun floating bridge. In addition, you will enjoy all the food and drinks you want during your visit.

XENSES PARK

Where nothing is what it seems. At this half-day park, you will enjoy a unique sensorial experience, in two circuits with aquatic, terrestrial and aerial activities, and more than 50 fantastic scenarios as well.
Walk the Xensatorium that will take you through different ecosystems without using your sight. Cross the enigmatic Town, which will test your sense of balance. Get excited during Bird Flight, slide at full speed on Slip, and enjoy relaxing experiences at Riverlaxing, Sludgerie and the Xpá.

XENOTES OASIS MAYA TOUR

Adventures in four cenotes amidst the jungle.Take an exclusive tour to four different kinds of cenotes, immersed in the jungle of the Riviera Maya, where you will learn the legends and mysticism hidden by each of them, as well as their Mayan guardians, the “aluxes”.
Accompanied by a guide, you can practice rappelling, kayaking and swimming, in addition to flying on zip-lines over the sacred waters.

XPLOR FUEGO PARK

Night adventures. Enjoy exciting activities at the only nighttime park in the Riviera Maya. Feel the adrenaline on an adventure between the jungle and the ancient underground world.
Drive amphibious vehicles through torch-lit paths, paddle with your own hands along “lava” rivers, and fly on the highest zip-lines of the Riviera Maya, flying above the trees in the middle of the night.

Shuttles run every 20 – 30 minutes to Xcaret, Xplor and Xplor Fuego. You do not need to book them. Just look for the pink shuttle with the straw roof.


Parks that require a reservation register you for the transportation to and from the parks/tours:

  • Xel-Ha: Pick up at 7:15 AM or 9:30 AM, Return at 4:00 PM
  • Xoximilco: Pick up at 3:30 PM (Mon – Sat) or 6:30 PM (Mon – Th), Return at 10:00 PM (first shift) or 1:00 AM (second shift)
  • Xenses: Morning shift from 8:30 AM, Afternoon shift from 1:30 PM
  • Xavage: Pick up at 9:05 AM, Return at 5:00 PM
  • Xenotes: Pick up at 8:50 AM, Return at 5:30 PM
  • Xichen Deluxe: Pick up at 7;15 AM, Return at 7:30 PM
  • Veleo Xailing: Pick up at 10:20 AM or 1:10 PM, Duration 2 hours
Yes except for Xenses and dinner theatre at Xcaret park. Xcaret food and drink is limited to certain buffet restaurants and a list of drinks. All food and drink must be consumed at sit down.
Yes Xcaret, Xenses, Xplor and Xel-ha all have free lockers provided.
Only Xel-ha provides free towels. Xcaret park has towels for a small fee. You can also bring towels from the hotel.

Xcaret park and Xel-Ha are accessible although there are certain activities which are not. Xsenses and Xplor not so much.
Xel-Ha, Xcaret, & Xenses are good parks for children. Older kids will love all parks.
