We are so excited to be able to share our upcoming Wedding with you at Hotel Xcaret Mexico in gorgeous Playa del Carmen, Mexico. Your presence at our wedding means the world to us.

Cheryl & Shea Bailey of Yellow Umbrella Events, a destination wedding event company, have been amazing in helping us with all the booking details. They have worked to secure a group rate with the resort and will be helping all of our guests book their travel accommodations for our wedding on Tuesday, May 21st, 2024.

Accommodations

Hotel Xcaret Mexico is an exclusive resort especially designed with charming and luxurious spaces. Free your senses as you merge with the majesty of the Mexican Caribbean and the tropical jungle.

The eco-integrating design adapts the architecture to the landscape in a delicate and caring manner. The coves, rivers, caves and jungle, are present throughout the resort, where everything flows under the principle of sustainability. The ALL-FUN INCLUSIVE® program redefines the traditional all-inclusive plan into a more complete experience. In addition to day and nighttime activities and elegantly crafted cuisine at the resort, you can enjoy full access to Experiencias Xcaret’s nature parks and tours, as well as each of their dining plans.

This program transforms and outmatches the traditional All-Inclusive concept, as Hotel Xcaret Mexico offers unlimited access to seven (7) Parks: Xcaret, Xel-Ha, Xplor, Xplor Fuego, Xoximilco, Xenses and Xavage, as well as deluxe Tours to Xenotes and Xichen, with round-trip transportation included. Some parks and tours require a prior reservation.

Trip Deposit & Payment Schedule

A payment equal to 50% of your room total is all you need to reserve your room.
Monday, December 4th, 2023 is the deadline to get an available room in the room block. Any reservations requested after that date have to be requested with the resort. Room availability and contracted rates are not guaranteed.
Full payment of your trip is due by Tuesday, March 12th, 2024 (The resort reserves the right to cancel the reservation if payment is not made by this date ).
Additional payments towards your balance can be made at any time (monthly) by contacting your dedicated reservation specialist before the final payment is due.
You are responsible for booking your own flights but we still need your flight info by Thursday, April 4th‎, ‎2024 to give to Hotel Xcaret's transportation company. You can send that to us by filling out the form on this page.
You will fly into Cancun International Airport (CUN). This is where the transportation company will pick you up.

Adding Nights/Guests once you arrive at Hotel Xcaret

As soon as the first person from the group has arrived at the resort we are not allowed to add extra nights or guests to your reservation. You will have to go to the front desk to add them. Also, the resort will not honor the contracted room rates and you will have to pay whatever the current room rate is at that time.

What’s the difference between the Adults-Only Suites and the other Suites?

The Adults-Only Suites are located in two different buildings, the Fuego building and the Agua building (Spa rooms). These two sections of the resort only allows adults (18+). If you stay in a different room category other than an Adults-Only room category you will not have access to these buildings.

Exclusive to the Fuego Adults-Only building is the rooftop pool and bar, the private adults-only restaurant that is only accessible to guests staying in Fuego, a small private cove area beach and lounge area, a premium outdoor bar on the lower level of the building, private check-in, and check out at the Fuego building lobby (so you don’t have to wait to check-in/out at the main lobby with all the other resort guests), butler service, and a Fitness Center in the Fuego building that’s exclusive to Fuego guests.

Guests staying in the Agua building DO NOT have access to the Fuego building!

Cancellation Policy

If you cancel your reservation by December 4th, 2023, you are only responsible for the $100 per person cancellation fee. However, you can reduce the number of nights in your reservation up to this date without a cancellation fee.

If you cancel your reservation between December 5th, 2023, and March 11th, 2024, you will be responsible for 50% of your room total. Also, if you reduce the number of nights in your reservation you will be responsible for 50% of the nights reduced. If you have travel insurance you can file a claim to get a refund based on their terms.

If you cancel your reservation or reduce the number of nights in your reservation on or after March 12th, 2024, you are responsible for 100% of your room total. If you have travel insurance you can file a claim to get a refund based on their terms.

Additionally, the resort will not allow the following modifications/changes to your reservation on or after March 12th, 2024:

Downgrading a room category
Decreasing the number of nights in your reservation
Removing a guest from your reservation (reducing the occupancy level in your room)

This resort will not allow any changes, including name changes, to your reservation after May 2nd‎, ‎2024.

What can you do with your reservation between March 12th, and May 2nd‎, ‎2024?

Upgrade your room category, if an upgraded room category is available.
Add extra nights, if additional nights are available.
Add an additional guest or make a name change.

The resort will not provide a credit or voucher for future travel if you arrive after your scheduled arrival date, if you check out early, or do not travel on the dates selected for this reservation for any reason.

Yellow Umbrella Events is not an agent of the Hotel and has no control over refund policies and other rules mandated by the Hotel.

To be considered a part of Rachel & Jacob’s Wedding Group, you must book through this group room block and not through any other method (even directly with the hotel). We offer contracted group rates that have been secured through a room block to make this as easy as possible. To participate in all of the wedding-related activities, you must stay at Hotel Xcaret Mexico as part of the wedding group.

If you stay at a different hotel/resort other than Hotel Xcaret Mexico you will be considered a Non-Guest and will be charged an additional fee of $80.00 per adult, children from 0 to 5 years are free and children from 6 to 12 years old will cost $40.00 USD to attend the wedding ceremony and related events. Children 13 years old and up will be charged the adult rate of $80.00 USD. Guests 18 years old and up are required to present an official ID to access the hotel. These guests are welcome to arrive 30 minutes before the first event and can stay up to 30 minutes after the last event ends.

If you do not purchase travel insurance and have to cancel your reservation you may still have to pay for part or the full amount of your reservation.

If you purchased the travel insurance and have to cancel you will be refunded by the travel insurance company according to the travel insurance guidelines, but you are still responsible for the $100 per person cancellation fee.

Once a reservation is booked there is a $100 per person cancellation fee with no regard to the reason for the cancellation. This cancellation fee cannot be reapplied to a later re-booking.

Travel Insurance

**If you have any questions about the insurance please give Travel Insured a call at 800-243-3174. We (Yellow Umbrella Events) are not a licensed insurance company and can not legally answer any insurance-related questions.**

FYI, not purchasing travel insurance could result in the loss of your travel cost and/or require more money to correct the situation. Without insurance, there may be no way to recoup any losses, costs, or expenses incurred and the price of travel insurance IS NOT included in the price of the room selections and is non-refundable once purchased.

Having travel insurance is definitely important and I recommend it for everyone. We personally buy it for our trips. However, the option to purchase travel insurance is solely up to you and you may purchase it through any insurance company you would like.

This website (Travel Insured) offers a very comprehensive policy called the “Worldwide Trip Protector” plan with optional add-ons like CFAR (Cancel For Any Reason), Optional Bed Rest which helps cover onsite quarantine expenses, and other add-on options. Travel Insured is the insurance company we personally use and suggest to others but you are welcome to purchase travel insurance through any entity that you choose.

If you want the CFAR (Cancel for Any Reason) benefit you will have to add it to the policy and you must purchase the insurance no later than 21 days from the day you make your initial payment.

When you click on the link you will need to answer a few questions about your trip and then you’ll be redirected to a page with the policy information and pricing.

The basic “Worldwide Trip Protector” plan, which does not include the CFAR or Optional Bed Rest options, can be purchased at any time, including after 21 days from the time you paid your initial payment but it will not cover the Pre-Existing Condition Exclusion Waiver or the Bankruptcy/Default of an airline, cruise line, tour operator or other travel providers. However, you can still cancel for a covered reason and potentially get up to a 100% refund as long as it’s a covered reason.

Americans with Disabilities Act

Since the hotel is not located in the United States, they’re not required to be in compliance with the U.S. Americans with Disabilities Act of 1990. The Hotel has a limited number of accessible guest rooms that are available on a first-come, first-served basis. We can request an accessible room for you but it’s never guaranteed.

Also, public areas and restaurants at the Hotel are wheelchair accessible, just not wheelchair friendly. If you need to rent a wheelchair, scooter, or oxygen tank you can do so through Playa Mobility. Click here to visit their website.

Although transportation is included, we find that the resort’s accessible shuttle is not always available or reliable. For this reason, we would advise all guests that are mobility challenged to arrange for private accessible round trip transportation, for the best experience. Room Reservation FAQ’s

Where can I find their Wedding Website & bridal registry?

We do not currently have that information. Please reach out to Rachel & Jacob to see if they have a personal wedding website & bridal registry.

I don’t see a way to RSVP on the website. How can I do this?

Guests can RSVP through the couple’s personal wedding website (linked above if available) or directly with the couple.

We (Yellow Umbrella Events) do not track wedding RSVP’s, we only manage the room reservations for the couple.

Do I need to make dinner and park reservations?

It is recommended you make reservations 30 days prior to arriving. FYI, Yellow Umbrella Events will send everyone an email with your confirmation numbers and instructions on how to make reservations about 30-35 days before you depart.

How do I set up childcare while at the resort?

We wanted to provide you with the resort’s approved childcare vendor, Kangaroo Babysitting Services. Here is a link to their website so you can ask them any questions and schedule your childcare.

Does the transportation company have a car seat for my baby?

Hotel Xcaret has its own private bus that picks you up at the airport. Unfortunately, they do not provide car seats. If you need one you’ll have to bring it with you.

Can I use a different credit card to make additional payments?

Yes. All you need to do is fill out the form on this page. As soon as we receive the information we’ll make the payment and email you the receipt.

Can my roommate(s) pay for their portion of the room on a separate card or does it have to be all on one card?

Yes, they can pay using a different credit card. However, when you fill out the reservation form it will only allow you to add 1 credit card. If they want to use their own credit card, all you need to do is add a note in the “Additional Information” section at the bottom of the reservation form and tell us who will be using another credit card. You can then submit their credit card info to us by filling out the form on this page.

Can I make additional payments before the final payment date?

Yes, you can make additional payments at any time. Just send us an email telling us how much you want to pay and if we should use the credit card I have on file for you. If you want to use a different credit card you can send it to us by filling out the form on this page.

Can I set up a payment schedule?

Yes. Just email us with how much you want to pay, what credit card to use, and on what dates you want me to make the payments.

I filled out the reservation form but I didn’t get an immediate confirmation.

When you fill out the reservation form it does not automatically make your reservation or charge your credit card. The information is sent to us so we can review it first. If we have any questions we will reach out to you for verification. As long as everything looks good we will make the reservation and email you a receipt showing the payment and another email with information about your reservation. FYI, If you fill out the form after business hours (5:00 pm CST) or over the weekend it may be the next day before you receive a confirmation.

Can I add someone else to my room after I’ve made my reservation?

Yes, you can always add a person to your room after your reservation has been made as long as it doesn’t go above the room occupancy limit. All you need to do is send your dedicated reservation specialist the following information. 1. Their name as it appears on their passport. 2. Their birthdate. 3. Their email address. 4. Arrival Date 5. Departure Date If you’re waiting to make a reservation because you’re not sure if someone will be with you in the room, we suggest you go ahead and secure your reservation now and then add them later.

The other person in my room can’t make it. Can I switch them with someone else?

Yes. Just send your dedicated reservation specialist an email with the name of the guest to be removed from the reservaiton along with the following information for the new guest taking their place. 1. Their name as it appears on their passport. 2. Their birthdate. 3. Their email address. 4. Arrival Date 5. Departure Date Once we have this information we’ll make the adjustment. If you are just switching guests the $100 cancellation fee is not charged to the person being removed from the reservation.

I can’t make it to the wedding and need to cancel my reservation. What do I do now?

First, send us an email (we have to have it in writing) letting us know you need to cancel your reservation. If you purchased the travel insurance and have to cancel you will be refunded the amount according to the travel insurance guidelines once you submit your claim, but you are still responsible for the $100 per person cancellation fee. If you did not purchase the travel insurance, you may still be responsible for additional fees above and beyond the $100 per person cancellation fee which could possibly include the full amount of the room reservation.

Will everyone in our group have rooms next to each other?

No, not necessarily. This will depend on a few factors like the type of room category each person books since each room category could be in different areas of the resort and how full the resort is at the time of the event.

Can I request a room next to someone else?

When you make your reservation you can send the request to us in the “Additional Information” section at the bottom of the reservation form and we will pass it along to the resort. They will do whatever they can to honor your request but it is not guaranteed.

Do I need to take electrical converters?

No. Mexico has the same electrical outlets as we do in the U.S.

XCARET PARK

Nature, gastronomy, archaeology, and spectacular traditions come together to celebrate life in this family park, the most emblematic of the country. Coming to Xcaret is to fall in love with the greatness of Mexico.

XOXIMILCO CANCÚN

The only fiesta for the whole family! Have fun at a traditional Mexican fiesta, as you dance and sing with live Mariachi aboard colorful barges along the canals of Xoximilco. You can also enjoy our Theme Nights! Xoximilco Retro, on Tuesdays and Fridays, bring back the 90s hits, and on Thursdays you can live the nights of Juan Gabriel.

In addition, you’ll delight with traditional cuisine, open beer and tequila bar, games and your personal party host.

XAVAGE PARK

Unleash your wild side in extreme adventures.

Whether you prefer adrenaline activities or something more peaceful, Xavage has an option for you. Enjoy an entertaining kayak ride, and overcome the challenges of a fun ropes course suspended in the air. Additionally, you have the option to choose between four adrenaline activities: driving an off-road vehicle on an exciting obstacle course, enjoying the speed of an unpredictable jet boat ride, flying horizontally on a zip-line, or taming the waters of the only rapids in the Riviera Maya.

For the little ones, Xavage has a section designed especially for them, where they can discover their own adventurous side.

VALEO XAILING

Our All-Fun Inclusive concept offers you fun moments to enjoy among your beloved ones with the new experience Veleo by Xcaret Xailing, a catamarn tour that will take you on a tour along the Mexican Caribbean, including canapes and drinks. XEL-HÁ PARK

Xel-Há is a natural park of incomparable beauty that provides everything from fun, snorkeling, food, relaxation, nature, breathtaking scenery and world-class service.

Walk or bike through the trails of the jungle of this natural wonder of Mexico. Enjoy a whole day snorkeling in the cove and in the river, and enjoy the view from the Scenic Lighthouse before descending into a natural pool.

Children and adults will be able to do zip-line activities, swim among different species of fish, and cross a fun floating bridge. In addition, you will enjoy all the food and drinks you want during your visit.

XENSES PARK

XENOTES OASIS MAYA TOUR

Adventures in four cenotes amidst the jungle.Take an exclusive tour to four different kinds of cenotes, immersed in the jungle of the Riviera Maya, where you will learn the legends and mysticism hidden by each of them, as well as their Mayan guardians, the “aluxes”.

Accompanied by a guide, you can practice rappelling, kayaking and swimming, in addition to flying on zip-lines over the sacred waters.

Before the end of your tour, you will enjoy a Glam Picnic in the middle of the jungle, with wine and beer, while you relax with the exuberant nature of the surroundings.

XPLOR PARK

This exciting park, immersed in the lush Mayan jungle, offers countless activities where you can feel the thrill of flying among the trees with the highest zip-lines of the Riviera Maya, drive amphibious vehicles, and tour refreshing underground rivers through stalactite caves.

You can also enjoy juices and original nutritious smoothies, as well as an exquisite buffet whenever you want, during your visit.

XPLOR FUEGO PARK

Night adventures. Enjoy exciting activities at the only nighttime park in the Riviera Maya. Feel the adrenaline on an adventure between the jungle and the ancient underground world.

Drive amphibious vehicles through torch-lit paths, paddle with your own hands along “lava” rivers, and fly on the highest zip-lines of the Riviera Maya, flying above the trees in the middle of the night.

At the end, you can delight yourself with a delicious BBQ ribs buffet, fresh flavored waters, or just relax in front the campfire.

XICHÉN DELUXE TOUR

The magic of the past, the charm of the present. Chichén Itzá and Valladolid are two treasures worth knowing in the hands of expert guides. The first-class service, the most reliable and up-to-date information and the exquisite cuisine of La Casona de Valladolid, give the visitor a genuine experience and a significant memory of the Mayan culture.

Are food and drinks included at the parks?

Yes except for Xenses and dinner theatre at Xcaret park. Xcaret food and drink is limited to certain buffet restaurants and a list of drinks. All food and drink must be consumed at sit down.

Are there lockers at the parks?

Yes Xcaret, Xenses, Xplor and Xel-ha all have free lockers provided.

Are towels provided at parks?

Only Xel-ha provides free towels. Xcaret park has towels for a small fee. You can also bring towels from the hotel.

How often do the shuttle run between the hotel and the parks?

Shuttles run every 20 – 30 minutes to Xsenses, Xcaret and Xplor. You do not need to book them. Just look for the pink shuttle with the straw roof.

How do I make a reservation?

Do you have maps of the parks?

You can view maps of the parks below. We currently do not have a map of Xoximilco.

Are the parks accessible?

Xcaret park and Xel-Ha are accessible although there are certain activities which are not. Xsenses and Xplor not so much.

LA TRAJINERA

Centuries ago, the canals of the Xochimilco Lake region, in the original Mexico City, were sailed by boats known as “Trajineras”. This tradition continues today and is one of the most colorful and lively activity of the city. In a Trajinera inspired setting, we recall this experience by bringing the best land and sea products enhanced by a Caribbean fumée flair.

XIN-GAO

Indulge in a journey of flavors of the Asian cuisine through traditional and contemporary proposition in a breathtaking setting. From a dynamic teppanyaki, the fire of the robata grill, a Western tatami, a luscious sushi bar. The Mixology Bar is the perfect complement for this dining experience.

A 360-degree sensory tour will transport you through different endless flavors of Mexico. Fresh products, colors and vibrant textures will highlight each of the 10 stations representing a unique style from a different region. CANTINA LOS FAROLES

A Cantina is to Mexico what a Bistro is to France: a place to meet and eat with friends’ and family. Here we recreate a traditional cantina environment and cuisine with the addition of steaks as center stage. In the evening, an atmosphere of festivity revolves in the mezzanine area, with music, a snacks’ menu, original cocktails, as well as a variety of Tequila and Mezcal awaiting to be discovered.

CHIBALI

Mexican family gatherings around the table are a long-standing tradition in our culture. Delight with your friends and family in a buffet style restaurant through themed tidbit stations and snack bars, ideal for the children to dine and be entertained.

LAS PLAYAS

Barefoot sand chill, the sound of the waves on the background, the fumée accents from the grill mixing with the breeze. Right in front of you, countless shades of blue decorate the ocean that drape upon the coves . A fresh cuisine in the afternoon and a fusion of spices in the evening. TEATRO DEL RÍO

A recreation the classic dinner-show lounges, considered the epicenter of the artistic and social life of Mexico in the 1950s. Enjoy this special time with your spouse, friends or family along a tasting menu, as the show takes place in an impressive riverfront stage.

LAS CUEVAS

A unique culinary delight in Riviera Maya has been created specially for you. Explore Mexican specialties, blending with international trends, in a gallery of caves carved out of the peninsula rock. For dinner, the menu will take you to discover the Mexican wine through the perfect pairing with each dish. FUEGO RESTAURANT

Intimate restaurant to enjoy a long after-dinner. Exciting gastronomy inspired by Mediterranean cuisine with a touch of Mexicanness, by the famous Chef Franco Maddalozzo. Suggestions for dinner range from the “Risotto de mi comadre”, an exceptional experience that combines mole, Shiitake, Foie Gras and chocolate, to the Huitlacoche ravioli in corn sauce.
