Overall I would highly recommend your wedding at Xcaret. The whole weekend was an absolute dream and I wish I could relive it. Planning can be a pain but once you are on site you don’t have to lift a finger. Everything was magical.

Vendor Reviews

Paulina (Resort Coordinator) – We were assigned to her a few weeks before the wedding and I was very unsure of her. She was really quiet in our prewedding meetings but once we got to her in person she was great. She was super helpful and knew exactly what I needed before I even realized it.
Magic Dream Weddings – I would not recommend her, she is very unorganized and not professional. I had numerous issues with her. She felt like a glorified resort coordinator and pretty much argued with me the entire planning process. She negotiated against me, almost let me sign contracts for “in house” vendors that weren’t even in house, missed meetings, and argued with other vendors I hired. It seemed she only wanted to make her life easier and only made suggestions that would achieve that. After the wedding I pointed out a few things that I thought she could work on and she pretty much told me I was lying and pointed fingers. With that being said her assistants Paulina and Victor were great the day of. Paulina’s attention to detail is exactly what we needed and I wish we could’ve worked with her the entire time.
Yellow Umbrella Events – I highly recommend this entire team to handle your room block. They sent out all emails, answered a million questions, and had an endless supply of knowledge about Xcaret. I don’t think I would’ve made it without Monica and Cheryl.
Cocoknot Photo/Content Creation – HIRE THEM. We had 11 hours of coverage and they had 3 photographers come together plus content creation.From start to finish the attention to detail was unmatched. They sat down with me on multiple occasions and went minute by minute with me and over all the details and built me the most perfect timeline. They also were not afraid to step in and take control of the schedule when Medelin told them they didn’t need the allotted time. They were fabulous. They provided a few sneak peaks the next day, and then a sneak peak gallery of about 100 photos one week later. Cocoknot was our most expensive vendor but I would’ve paid them ten times more had I known all the things they would help with.
Rocio Juarez Video – Highly recommend. We had rocio for our welcome party and wedding day. We had a deal worked out where we paid for Rocio to stay in our room block in exchange for a small discount and welcome party coverage. Rocio and Enso went above and beyond and worked well with Cocoknot.
Flori Flowers – Highly recommend. I took a chance on this vendor, but overall I was super happy with their service. They were easy to work with and even sent us a floral arrangement a few days after our wedding as a thank you. They provided all the florals, string lights, seating chart, and candles. This was their first wedding at Xcaret so I think there were a couple hiccups with set up but everything was perfect.
Event Design – We used event design for the flowers that were included in our package. They tried to charge me a delivery fee but after asking about it they agreed to take it off. I used the white bouquet for my flat lay photos, had them turn the bridesmaids bouquets into corsages for the moms, and then paid Flori Flowers to move the altar piece to the reception.
In house DJ – Highly recommend. I’m not sure their official name but our wedding was the week that Xcaret switched to the new vendor. We were super nervous and insisted on having a meeting with them and I highly suggest doing the same. We went over song requests, don’t plays, announcements, schedules, etc. Medelin fought us on having this meeting stating it was not necessary but it totally was. He announced us and all the happenings. We provided him with a rough guide through a spotify playlist and he mixed the rest. Our dance floor was packed all night.

Things I noted:

Stagger your RSVP dates and make it way earlier than your drop date. Everyone will say they are coming but when the time actually comes to book a lot of guests fell through.
Don’t be afraid to push back on the rain plan. Rain was the one thing that really turned me into a bridezilla and I was not afraid to push back about this. It all worked out in the end but the resort and my wedding planner were VERY pushy and not helpful about the potential rain.
We requested all guests stay on site and really didn’t give them an option not to.
Get a room with butlers. We used our butlers WAY more than I planned and it was life saving.
If the hotel vendors don’t have the design you want, don’t be afraid to ask for other accommodations. I had my heart set on a specific table linen we couldn’t find anywhere in MX and they let me bring them with me and set them up for me. Obviously this was a special case so please be kind.
Ask for extra time between the ceremony and cocktail. They wanted us to have everything back to back and didn’t include walk time.
We hired 3 golf carts to take everyone up and down from the chapel.
Build in extra time. Everything is so far away and so easy to get behind.
Skip bar signage and do like a bar menu on each table. We had wait staff that came to the dancefloor and guests were rarely at the bar.
We added an extra tier to our wedding cake that was included. This was $280.
We added an extra hour to the reception. If you have this in your budget do it. it goes by so fast.
We went way over budget but I wouldn’t change anything.
