Yellow Umbrella Events specializes in destination group travel planning, with a strong focus on destination weddings and corporate events at all-inclusive resorts in Mexico.

Our role is to handle the travel and logistics side of your event, including:

  • Securing your wedding or event date and setting up your room block contract
  • Managing guest reservations, payments, deadlines, and questions
  • Providing options for airport transfers
  • Serving as the main point of contact for your guests before travel

The resort’s on-site wedding coordinator manages the actual wedding or event day details.

Because we offer expert guidance, comprehensive travel management, and responsive support. Couples who choose to work directly with a resort often flounder – because they are forced to make every decision themselves. If this is your first time planning a destination wedding, you are making those decisions in a total vacuum.

But this is what we do, day in and day out. We’re able to quickly identify your best options based on your unique needs, group size, and vision. Then, we work to secure it all for you (what would take you weeks of back and forth can take us just days). Simply put: Resorts won’t walk you through the process – but we will.

While resorts are excellent at handling the wedding or corporate group once your guests arrive, they are not designed to manage group travel logistics, guest communication, or ongoing support before the trip.

When you work directly with a resort, you typically get:

  • A single point of contact focused on the wedding day events
  • Limited help with guest questions and payments
  • Little to no guidance on room block strategy or guest experience
  • Expert guidance on choosing the right resort based on your guests, budget, and priorities – not just availability. The resort you call is not going to give you the cons of working with them or other resort alternatives that might work better for you.
  • Room block strategy and contract management, so you don’t over-commit or miss important deadlines. Most resorts have a specific strategy for how they want all room blocks to be laid out so they are not going to think creatively for your specific group.
  • One central point of contact for your guests, so you’re not fielding travel questions every day for months
  • Clear communication, reminders, and support that keep your group organized and informed
  • Advocacy on your behalf if issues arise with rooms, travel, or resort policies

Yellow Umbrella Events focuses on group travel logistics, which is the most complex (and stressful) part of planning a destination wedding or corporate group event.

We don’t replace your wedding or event planner – we complement them by handling the travel side so your guests actually arrive relaxed, informed, and on time.

You may still wish to have the support of a “traditional” wedding planner – they will help you with the wedding day side of things, like choosing vendors and picking out flowers and linens. Resorts offer on-site wedding coordinators, or you can choose a local wedding planner for more in-depth assistance (we know the best and are happy to give you an intro!)

Costs, Pricing & Payments

Nothing. Our resort selection and room block management services are complimentary when you contract a room block with us.

We are paid by our resort and supplier partners – not by adding extra fees to your guests’ reservations. This does not add anything to the cost of the rooms.

Yes. Most group contracts allow guests to:

  • Secure their room with a deposit
  • Make payments over time
  • Pay their remaining balance at a set point closer to travel

We clearly communicate all payment deadlines so there are no surprises.

Site visits are helpful but are not required to plan a successful corporate event or destination wedding.

We know that’s kind of a non-answer; that’s why we start with a consultation call to first determine your destination wedding vision, so we can align that with the right resort. That’s not a problem.

If the resort is a good fit and supports group contracts properly, we can evaluate it and let you know if it makes sense – honestly and objectively. There are resorts that we do not recommend, and therefore will not work with, and these are based on many past experiences. We’ll always be up front with you about the resort you select.
