Yellow Umbrella Events specializes in destination group travel planning, with a strong focus on destination weddings and corporate events at all-inclusive resorts in Mexico.
Our role is to handle the travel and logistics side of your event, including:
The resort’s on-site wedding coordinator manages the actual wedding or event day details.
Because we offer expert guidance, comprehensive travel management, and responsive support. Couples who choose to work directly with a resort often flounder – because they are forced to make every decision themselves. If this is your first time planning a destination wedding, you are making those decisions in a total vacuum.
But this is what we do, day in and day out. We’re able to quickly identify your best options based on your unique needs, group size, and vision. Then, we work to secure it all for you (what would take you weeks of back and forth can take us just days). Simply put: Resorts won’t walk you through the process – but we will.
While resorts are excellent at handling the wedding or corporate group once your guests arrive, they are not designed to manage group travel logistics, guest communication, or ongoing support before the trip.
When you work directly with a resort, you typically get:
Resorts plan the event day.
We manage the people getting there.
Most couples find that working with Yellow Umbrella Events results in:
We manage the travel planning and guest logistics, not the wedding or event day execution.
Your resort wedding coordinator will handle:
Our job is to make sure your guests get there smoothly – which is critical to the success of any destination event.
We’re different by design.
Yellow Umbrella Events focuses on group travel logistics, which is the most complex (and stressful) part of planning a destination wedding or corporate group event.
We don’t replace your wedding or event planner – we complement them by handling the travel side so your guests actually arrive relaxed, informed, and on time.
You may still wish to have the support of a “traditional” wedding planner – they will help you with the wedding day side of things, like choosing vendors and picking out flowers and linens. Resorts offer on-site wedding coordinators, or you can choose a local wedding planner for more in-depth assistance (we know the best and are happy to give you an intro!)
In addition to destination weddings, we also plan:
If it involves moving a group internationally, we can help.
Nothing. Our resort selection and room block management services are complimentary when you contract a room block with us.
We are paid by our resort and supplier partners – not by adding extra fees to your guests’ reservations. This does not add anything to the cost of the rooms.
Yes. Most group contracts allow guests to:
We clearly communicate all payment deadlines so there are no surprises.
upfront.
Because of this, we educate you on:
Our goal is no surprises later — even if that means having honest conversations early.
A room block is a group contract that:
Most destination weddings see 40–60% of invited guests attend.
We help you estimate the right number based on:
Blocking too many rooms – or too few – can both cause problems, and this is where expert guidance matters.
We coordinate airport transfers for your guests and provide clear guidance on flight timing and arrival logistics.
Guests typically book their own flights, but we support them with:
Yes. All international travelers need a valid passport.
We strongly recommend travel insurance to protect against:
We provide guidance so guests can make informed decisions.
Ideally, 12–18 months in advance.
This allows time to:
Most events can, of course, be planned in less time, but earlier is always better.
For destination weddings:
We also recommend a wedding website to centralize travel information and reduce guest confusion.
Absolutely – and many couples do.
We provide:
Site visits are helpful but are not required to plan a successful corporate event or destination wedding.
Choosing a resort isn’t about what looks best online. It’s about:
We guide you through this process step-by-step, so you don’t choose a resort that creates guest resistance or unexpected costs.
The best destination wedding resort is the one that works best for you and your specific plans and vision. We know that’s kind of a non-answer; that’s why we start with a consultation call to first determine your destination wedding vision, so we can align that with the right resort. Resort selection is a part of our travel planning service!
That’s not a problem.
If the resort is a good fit and supports group contracts properly, we can evaluate it and let you know if it makes sense – honestly and objectively. There are resorts that we do not recommend, and therefore will not work with, and these are based on many past experiences. We’ll always be up front with you about the resort you select.
Mexico offers both legal and symbolic ceremonies.
Legal weddings require:
Nearly all couples choose symbolic ceremonies for simplicity, as they are the easiest and most cost-effective option.
The first step is a consultation, where we:
From there, we guide you through every phase of the process.
How do we know if our resort is available for our date?
Event date availability depends on:
Once we connect, we can quickly confirm availability and hold space when appropriate.
If you value:
Then yes – you’re totally in the right place.
