One of the most common questions we see from couples planning destination weddings is about wedding planners: who to hire, how they differ from a resort wedding coordinator, and what pricing typically looks like. It’s an important conversation to have early in your planning process, especially when you’re getting married at a destination resort.
While many all-inclusive resorts – including Hotel Xcaret – provide an on-site wedding coordinator, it’s important to understand how that role differs from hiring an independent wedding planner.
Resort Wedding Coordinators vs. Independent Wedding Planners
Resort wedding coordinators are typically assigned 60–90 days before your wedding. Their primary responsibility is to the resort, and their role focuses on managing the resort-specific wedding package details, timelines, and in-house vendors.
An independent wedding planner, on the other hand, works solely for you. They provide:

Do You Really Need a Wedding Planner?

Destination weddings are very different from weddings in the U.S. Traditional planning timelines (yes, even the ones you see on The Knot) often do not apply in Mexico or other international destinations.

Joyce and her team are some of the most fiercely protective planners I know – and I mean that in the best way possible. They are kind, professional, and incredibly thorough, but when something isn’t right, they will absolutely advocate for their couples.
I’ve personally witnessed Joyce step in and firmly defend couples when vendors or resort processes weren’t meeting expectations. Their planning process is consistent, detailed, and extremely well-run.
They are not the least expensive option, which can be frustrating for couples on a tight budget. But if you have the budget for them, you will be exceptionally well cared for throughout your planning journey.

Claudia Solis Weddings – Claudia
I’ve known Claudia for many years, dating back to when we worked together while she was a weddings manager at several Dreams resorts. When she launched her own planning company around 2020–2021, I quickly brought her into Hotel Xcaret and spent significant time helping her understand the resort’s processes.
Claudia has planned an incredible number of weddings at Hotel Xcaret – likely more than almost anyone else on this list. Her team is consistent, responsive, and has a strong, organized planning process that works well for most couples.
She’s also one of the few planners who consistently offers a shorter planning window option, making her services more accessible.

Castle Weddings & Events – Fer & Gaby
While I don’t know Fer and Gaby as personally as some of the other planners listed, I am very familiar with their work, their excellent reputation, and the consistently positive feedback we’ve received from couples who have worked with them at Hotel Xcaret.
They currently offer a 90-day planning service exclusively for our couples on a trial basis, at a lower rate than their full-service planning. This option is not available to the general public, so it’s important to respect the boundaries of that service to ensure it remains available in the future.

A Note on 90-Day Wedding Planning Services
Having spent years as a full-time wedding and corporate event planner, I completely understand why many planners are hesitant to offer 90-day planning services.
In practice, couples who book shorter planning timelines often need nearly the same level of support as full-service clients – which can create stress when expectations push beyond agreed boundaries.
If you book a partial planning service, it’s essential to fully respect the scope of what you’re paying for. Doing so helps maintain a healthy working relationship and ensures planners can continue offering these more flexible options.
