Welcome to Yellow Umbrella Events’ Hotel Xcaret ARTE Wedding Guide. Hotel Xcaret ARTE is a modified adults only resort concept that allows guests starting at 16 years old and above. It’s the second of three resorts owned by the Hotel Xcaret brand (Grupo Xcaret) and it’s just as remarkable and stunning at Hotel Xcaret Arte, with beautifully unique event spaces for weddings and social events. Since ARTE opened in 2021 it’s been steadily growing as the top resort in the Riviera Maya to host memorable adults only weddings and events. How do we reserve our wedding date at Hotel Xcaret Arte?

You can start by giving us a call at #512-955-1320 or email us here and we’ll get you started. We’ll help you determine some date options that might work best for you, help you narrow down your ceremony and reception options, and talk you through the wedding package details. Once we have all these details, we’ll connect with the property to confirm date options. If they have your date available, the resort will hold your date and venue locations while our team sets up the required room block for you and your guests

Are you required to contract a wedding room block?

Yes, Hotel Xcaret Arte requires a room block contract to be completed in order to host a wedding at this resort. Currently, Hotel Xcaret Arte only requires a room block of 11 rooms to host a wedding at the resort, no matter the day of the week.

Do all our guests have to stay at Hotel Xcaret Arte to be able to come to our wedding?

At least 80% of the total number of your wedding guests are required to stay at ARTE for a minimum of 3 nights. All guests that are not staying on site at the resort must pay a fee of $90 per person (please note this is the current fee and could change at any time). This fee allows the off-site guest to enter the property up to 60 minutes before the ceremony time and they must leave at the end of the reception.

How do we and our guests book rooms for our wedding?

That’s something we can totally help you with! A typical wedding room block consists of at least 11 or more rooms for a total of 3 or more nights. Once the resort confirms your wedding date, we will walk you through the room block contracting process from there. Hotel Xcaret Arte requires a room block contract to be able to have your wedding at the resort since they frequently sell out and your guests may be left with no option to stay on site for your wedding. A contracted room block may normally include some concessions as well, like a free 1-hour welcome cocktail party for all guests with rooms booked within your room block. Since concessions change frequently it’s best to simply ask us what the latest concessions are at the time of the room block request.

Does Hotel Xcaret Arte offer a complimentary ceremony and/or vow renewal option?

No, Hotel Xcaret ARTE does not offer a complimentary ceremony or vow renewal option. 

Does Hotel Xcaret Arte allow elopements?

No, the resort does not have elopement packages currently.

How much is the wedding deposit?

Your initial deposit is based on the total anticipated basic wedding costs (ceremony+ cocktail hour + reception, if that is what you are planning). You will pay a deposit equal to 30% of the total of your wedding day basics for your total anticipated guest count.

Your initial wedding deposit will be made by wire transfer to the resort, but all future payments can be paid by credit card.

How many weddings take place at the Resort daily?

The resort often hosts just one wedding a day but during busy seasons may host no more than two wedding events a day. The size of the resort allows them to be able to host more than 1 event on the same day without them interfering with each other.

Does Hotel Xcaret Arte offer same-sex weddings?

Yes! Hotel Xcaret Arte resort is a same sex friendly environment and welcomes all weddings.

Do weddings at Hotel Xcaret Arte include all the vendors we’ll need for our wedding?

Hotel Xcaret Arte wedding packages include most of the items that couples “need” for their wedding, including a DJ and dance floor. However, there are in house vendors for all the elements of your wedding – vendors for photography, videography, hair & make up, florals, and any décor that you might want to add. You are welcome to use their in-house vendors for all your wedding services.

What if we don’t want to use the in-house vendors that Hotel Xcaret ARTE requires?

You are welcome to bring in your own vendors from outside the resort, both from the local area and internationally, for a fee per vendor. Photographers and videographers are $1000 per vendor and all DJ/Audiovisual and floral and décor vendors are $870 per service. For example, if you hire a local photographer from the area you would pay an “outside vendor” fee to Hotel Xcaret ARTE of $580. If you ALSO hire an outside vendor as your decorator, there would be an additional outside vendor fee of $870.

If you would like to use outside vendors for your Hotel Xcaret ARTE wedding, we recommend working with vendors that include a number of related services, so that your outside vendor fee is reduced. For example, we’d recommend you choose a vendor that offers both photography and videography or a decorator that includes flowers, linens, and lighting. That way you pay less in outside vendor fees.

Of course, if you choose your vendors from the in-house vendor list at Hotel Xcaret ARTE, there will be no additional fees to use their services, other than the cost of the actual services rendered.

There is one excellent exception to this outside vendor situation. If you bring a vendor with you, like a photographer or hair and make-up artist, for example, and they stay at the resort in your room block for 3 or more nights, there is no outside vendor fee, since they are then considered a guest of your wedding. This is a perfect solution for those couples that want to bring their own photography and videography team with them from their hometown.

Can I hire my own hair and makeup artist from the local area?

Yes. By paying a Day-Pass fee of $100, each hair and makeup artist will have access to the facilities and services of Hotel Xcaret. However, ARTE has 3 in-house vendor options for hair and make-up – the in house salon, Styling Trio, and Sara Tamargo Make Up and Hair. Each of these 3 options do not have an outside vendor fee

Is there a bride’s suite or groom’s suite available?

Yes, there is a bridal suite available in the Muluk Spa (next to the salon). This rents for $1,500 for up to 4 hours (pricing is subject to change/increase) and includes a space large enough for about 9 people, with hair and make-up stations, a bench seat in the middle of the room, a large stand up 3-sided mirror, a private restroom, and direct access to the salon and spa, where you can access the showers and additional restrooms. This space can be used for the ladies or the guys, technically, but is more logically suited to the ladies getting ready.
Instead of the spa suite, most of our couples reserve a Junior Suite for at least 3 nights, that is 1,356 square feet, and includes the full normal resort suite room, connected to a large living area, complete with a sofa seating area and TV, dining table, kitchenette and bar area, a double patio, and a separate guest bathroom. The additional cost (over that of a lower category room) ends up being about the same as the cost of the Bridal Suite rental but gives you your own private suite where you can entertain guests for 3 nights/4 days. Our couples normally rent this option for at least the 3 nights either at the start of their stay or overlapping the wedding day (1 day prior, the day of the wedding, and 1 day after.)

Is there a Catholic Chapel on-site?

Yes, and it’s amazing and has extraordinary views! There is nothing like the Capilla de Todos Los Angeles for your Catholic ceremony. This chapel is shared with (and is directly in the middle of) Hotel Xcaret Mexico and Hotel Xcaret Arte.

Can I get married in the Chapel even if I’m not Catholic?

Unfortunately, Capilla de Todos Los Angeles is a consecrated chapel and is only available for Catholic weddings. If you are Catholic and having trouble finding information on the process to have a Catholic Destination Wedding in Mexico please read our informational Q&A. It may help get you started on the long process.

Is the Priest’s fee included in the chapel rental fee?

The priest’s services are not included. You’ll need to contact the Parroquia de Nuestra Sra. del Carmen to understand the documentation process and the hiring of the priest since all documentation must be verified by and delivered directly to the Parroquia de Nuestra Sra. del Carmen. The resort will connect you with them once you have finalized your wedding contract.

Is there a discounted room rate if we want to visit Hotel Xcaret Arte to decide if this is where we want to host our wedding?

Hotel Xcaret ARTE offers a discounted room rate of 20% off for those that have already booked their wedding at the resort. This will give you a chance to meet with the wedding department staff and tour the ceremony and reception venue locations – and enjoy all the resort has to offer, of course! They do not, however, offer a discounted rate to those that are still simply considering the resort. You must have a booked wedding date to enjoy the wedding visit discount. You’ll need to book this trip through the wedding department to be able to take advantage of this discounted rate. If you would like to have your catering and cake tasting during your visit, you’ll want to schedule this 7 months or less prior to your wedding.

Can wedding guests with children stay at Hotel Xcaret Mexico and still come to our ARTE wedding?

Adult guests that choose to stay at Hotel Xcaret Mexico may access ARTE for the wedding day only, arriving 30 minutes prior to the ceremony, and must depart at the end of the reception event. No children under the age of 16 are allowed at ARTE resort, even for a wedding. However, there are 2 event spaces that are shared with the connecting resort, Hotel Xcaret Mexico, where children may attend the ceremony only. Please check out the details further down on this page (under the “Ceremony & Reception Venue Details and Descriptions” heading) regarding the 2 shared event spaces – Palmeras Beach and Todos Los Angeles Catholic Chapel.

Can adult guests that stay at HX Mexico hang out with us at ARTE during our/their stay?

Unfortunately, your guests at Hotel Xcaret Mexico will not have access to ARTE. 

All in all, it’s not ideal for guests to stay at Hotel Xcaret Mexico when the rest of the group is at ARTE since they will miss out on all the hang out time, dinners together, pool time, night club time, etc. that guests staying with you at ARTE will have. We understand that sometimes there are guests that must travel with their children, and when this is the case, staying at the connecting resort, HX Mexico, will at least allow the adult guests to attend your wedding day event.

Can we purchase a day pass for our friends & family at Hotel Xcaret Mexico so they can visit us during our stay at ARTE?

Unfortunately, no, the resort does not offer day passes for Hotel Xcaret Mexico guests currently. The only passes that are allowed are wedding day passes and they allow access only on the wedding day, 60 minutes prior to the ceremony and the guest must depart the resort at the end of the wedding reception.

I really really want an adult only resort for my wedding, and I’m absolutely set on this, but we have 1 (or a few) kids that must be at the wedding. Do I have any options?

If a child/children must be present at your wedding and your group is staying at ARTE, you may consider hosting your ceremony at some combination of the 2 shared ceremony spaces (more info about these spaces can be found below, under the heading “Ceremony & Reception Venue Details and Descriptions”. For example, you can have the following:

  • Your ceremony at Palmeras Beach
  • Your ceremony at De Todos Los Angeles Chapel

 

Please keep in mind that if there is a weather situation that causes your wedding to move indoors that children under 16 would not be able to be accommodated for your event, so you’ll want to consider this since Palmeras Beach is an outdoor venue. This is a very important consideration if you absolutely must include a child/children in your wedding but are staying with your wedding group at Hotel Xcaret ARTE.

What time do outside receptions and events need to end?

All outside events and sound must end by no later than 11pm. Indoor events may continue for as many hours as you would like.

Can our guests use golf carts to get around the resort?

No, due to the design of the resort it is not possible to use golf carts for the transportation of the guests throughout most of the resort.

The only area that has golf carts is the Catholic Chapel path around the Xpiral building.

How far in advance do we need to book our wedding?

There is no set time in advance that you must book your wedding, but Hotel Xcaret Arte books extremely quickly and well over a year in advance, so it’s best to start the planning process as soon as you can, to give you the most flexibility on dates, especially if you’d like a weekend date.
Though you may have a specific date in mind we often advise our couples to be open to a particular month, season, or day of the week, since dates are typically so limited. Requesting dates one year or less away will likely return with few if any open date options. Hotel Xcaret Arte is truly that popular!

Do we get a rehearsal time?

Yes, you can have a rehearsal time the day before your wedding ceremony if you request it. Due to availability, your actual ceremony site may not be available, though, which means you may have to practice in another location. You or your wedding planner will need to be in charge of the running of the rehearsal since the wedding staff does not include this.

How far in advance do we need to arrive at the resort before the wedding day?

This depends on if you will have a legal or symbolic ceremony. Legal ceremonies will need to arrive and be on-site 3 – 4 business days (Saturday & Sunday doesn’t count) before your wedding. Symbolic ceremonies have more flexibility and we normally recommend an arrival time of at least 2 days in advance so you can take care of any last-minute details and complete your final wedding walk-through, and still have a little time to relax and enjoy some downtime before the wedding day.

Will we be able to confirm our wedding details with a final walk-through once we arrive at ARTE on-site before our wedding?

Yes, you will meet in person with your assigned Hotel Xcaret ARTE wedding coordinator 1 – 2 days before your wedding (depending on your arrival date) to review all your wedding details. You may add any additional last-minute services at that time as well, but please note that any services that are added last minute are subject to availability.

Are there any locations for a first look?

Yes, there are so many fantastic first look photo locations at this resort! Your photographer will suggest a location for you based on your esthetic, timing, and location of your wedding day events.

Does Hotel Xcaret Arte offer a complimentary honeymoon package?

Not at this time.

Wedding Room Block Timeline

HERE’S A QUICK RUN DOWN OF WHAT’S NEXT IN THE PROCESS:
  1. Receive a wedding date confirmation – We’ve sent in your request form and connected you with the resort wedding team. Now we will wait for the resort to respond with date options, and you’ll decide on a date for your wedding. This usually takes a day or two.
  2. Request Room Block Rates and Details – Once you’ve said yes to a wedding date the resort will hold this date while we move forward with setting up your room block. First, we’ll request room rates from the groups department and the resort will send these to us for your review. We normally receive the rates approximately one week after we request them.
  3. Make the Room Block Contract Request – Once you’ve reviewed the rates, you’ll make the room block contract request. We’ll give you some guidance on what room categories and quantities to select. You’ll normally have approximately one week to make this contract request from when you receive the rate details.
  4. Receive/Deposit Room Block Contract and The Wedding Contract is Prepared – Approximately one to two weeks after we request the room block contract, we’ll receive it. You’ll normally have two or three days to review it, sign it, and make the room block deposit. Once the deposit is made, we’ll request the resort to release the wedding contract and they’ll send this to you for your payment and signature.
  5. Invite Guests – Our team will reach out to you as soon as your room block contract is finalized to help you through next steps. We’ll set up a one-page weblink for you and your guests that will give them all the details they will need to book their room.   6. Follow the Process – We’ll periodically keep you up to date on who has made reservations in your room block and keep your guests on track with payment dates and travel details. From here, you’ll work with the resort staff on wedding day specific planning details.
*Please note – This does not mean it always happens this way and in this amount of time but, based on our experience and tracking, these are some “what’s next” type steps in the process and the ranges of time each step normally takes. If you book your room block directly with the hotel or through another source this timing may differ, and you could experience longer wait times. This is just a general guide to help you have realistic expectations throughout this complete wedding date booking and room block booking process. I find that couples have a bit more anxiety with how long things can take at this resort, so having an idea of what everyone else is also experiencing can help put most couples more at ease. Hopefully it helps you as well.

Ceremony Site Details and Descriptions

Ecumenical Chapel – The Ecumenical Chapel is a non-denominational outdoor covered chapel that overlooks the ocean. It’s in the furthest most corner of the resort, making it the most private outdoor venue at the property to host your wedding ceremony.
  • Function Options: Ceremony only
  • Includes chapel usage, wood benches, ceremony table, and usage of included sound system, with exceptional acoustics
  • Capacity: Up to 120 guests for ceremony seating

Garden Ecumenical – the Garden Ecumenical is a grassy space directly connected to the Ecumenical Chapel. This space is most suited for cocktail parties, but you could also host a small dinner gathering here. Please note that it’s not large enough for a dance floor plus dinner seating.
  • Function Options: Cocktail Hour or Small Dinner Reception
  • Includes whitewashed wood cross back chairs and choice of white, cream, or black linen covered cocktail tables.
  • Capacity: Cocktail Hour of up to 50 guests, Reception of up to 30 guests

Outdoor Locations:

Palmeras Beach

Palmeras Beach is the beach ceremony location that is shared by both the ARTE and Hotel Xcaret Mexico resorts. It’s set back from the beach amid a row of palm trees and is one of our favorite beach ceremony locations in the entire Riviera Maya.

*Special note *– If your wedding is at Hotel Xcaret ARTE (16 years and up) and you must have a child (or children) in attendance at your ceremony this is one of the 2 ceremony site options where children at the connecting resort (Hotel Xcaret Mexico) could be present. Children of all ages may attend your Palmeras Beach ceremony, but they still would NOT have access to ARTE, so children under 16 years of age will not be able to attend the cocktail hour or reception events at ARTE. Please keep in mind that if there is a weather situation that causes your wedding to move indoors that children under 16 would not be able to be accommodated for your ceremony.

  • Function Options: Ceremony only (No cocktail hours or dinner events are allowed on the beach)
  • Includes the venue, whitewashed wood cross back chairs or white tiffany ceremony chairs, and a ceremony table.
  • Capacity up to 100 guests

Artists Balcony (Mirador Artistas) – This event space is located next to the Artistas building on level 2 of the resort, is on sand, is elevated above the natural beach area, and has a great view of the ocean. This petite space is ideally suited to wedding ceremonies and receptions of 30 guests or less. Even though the ceremony space is on sand, it’s immediately connected to a hard surface area where the cocktail hour & reception are held, so you have the best of both worlds – a “beach” wedding but with a hard surface reception area, so it’s easy for guests to walk on. The reception space also overlooks the resort’s river below and is a great spot for photos. One additional perk – the reception area has a permanent seating group and built in tiki bar, so you don’t need to pay extra to rent these items!

  • Function Options: Ceremony, Cocktail Hour, and Reception
  • Includes the venue, whitewashed wood cross back ceremony chairs, and a ceremony table. Cocktail hour and/or reception usage includes whitewashed wood cross back chairs and choice of white, cream, or black linen covered cocktail and/or dining tables.
  • Capacity: Up to 30 guests
Playon Pyramide – This beautiful space is ideal for the couple that does not want to get married on the sand since it’s on a stone surface. Playon Pyramide also has a great view of the river and of the Pyramide building. It’s large enough that you could host everything from your ceremony to your dinner reception in the same space, so your guests don’t have to walk from venue to venue throughout the resort, but intimate enough (due to the great thick foliage and palm trees in this space) that it doesn’t feel too large. The ambient lighting around the area and in the trees at night makes this space feel very romantic.

  • Ceremony usage includes the venue, whitewashed wood cross back ceremony chairs, and a ceremony table. Cocktail hour and/or reception usage includes whitewashed wood cross back chairs and choice of white, cream, or black linen covered cocktail and/or dining tables.
  • Capacity: Up to 80 guests for a ceremony, 250 guests for a cocktail hour only event, and up to 60 guests for a seated dinner reception

Caracol – This is such a unique space with a one-of-a-kind backdrop and there is nothing like it in all the Riviera Maya! The Caracol (meaning snail) event site has the tall artistic water sculpture of a shell in the center of the greenspace, diarectly in front of the Paz (spa) building. You will walk into this ceremony site from a beautiful staircase and down the aisle flanked by the lush lawn greenery. It’s truly a unique and peaceful space.
  • Function: Ceremony, Cocktail Hour, and Reception
  • Includes the venue, whitewashed wood cross back ceremony chairs, and a ceremony table.
  • Capacity: Up to 50 guests
Playon Musica Hotel Xcaret Arte
Playon Musica – This event space is typically used for larger events of over 450 guests, so if you have a big guest count, this may be the venue for you. Playon Musica is an outdoor wide open area that has a pool and pool bar area, great view of the river, a beautiful green lawn space in front of the main amphitheater, and you can even add on usage of the amphitheater stage (with extra fee), depending on the activities you have planned.
  • Function Options: Ceremony, Cocktail Hour, and/or Reception
  • Includes the venue, whitewashed wood cross back ceremony chairs, and a ceremony table. Cocktail hour and/or reception usage includes whitewashed wood cross back chairs and choice of white, cream, or black linen covered cocktail and/or dining tables.
  • Capacity: Requires a minimum of 450 guests to use this venue and can have a maximum of 500 total guests

De Todos Los Angeles Chapel – The Catholic Chapel is located in the very center of both the Hotel Xcaret Mexico and Hotel Xcaret Arte resorts and is a shared venue between both resorts. It is a consecrated chapel and is only available for Catholic weddings.

*Special note about this venue option – If your wedding is at Hotel Xcaret ARTE (16 years and up) and you must have a child (or children) in attendance at your ceremony this is one of the 2 ceremony site options where children at the connecting resort (Hotel Xcaret Mexico) could be present. Children of all ages may attend your De Todos Los Angeles Chapel ceremony, but they still would NOT have access to ARTE, so children under 16 years of age would not be able to attend the cocktail hour or reception events at ARTE.

  • Function Options: Ceremony only
  • Capacity: Up to 150 guests
Frida Ballroom – Frida Ballroom is the smaller of the resorts’ two indoor ballroom venues and is perfect for weddings. Sections of the walls are made of natural wood materials, which photograph beautifully, and the ceilings are not nearly as high as some ballrooms, making the space appropriately intimate for a wedding reception. A great benefit of choosing a ballroom space for your reception is that you don’t have a specific end time that you must adhere to, like the outdoor venues, where sound (and your event) must end by 11pm. With a ballroom space you can party til 1 am (or even later), if you’d like!
  • Function Options: Ceremony, Cocktail Hour, and/or Reception (primarily used for a reception unless there is a weather situation that causes a ceremony to be moved indoors)
  • Includes the venue, cross back wood ceremony chairs, and a ceremony table.
  • Capacity: Up to 300 guests

Diego Ballroom – Diego Ballroom is the larger of the 2 indoor ballroom options, making it well suited for very large guest counts, but it can be divided into smaller spaces to accommodate smaller guest counts as well, with the addition of air walls. The most magical thing about the Diego Ballroom is the abundant large basket like ceiling fixtures and natural wood arch elements. It really turns the space into a wow moment when guests walk in the doors.

A great benefit of choosing a ballroom space for your reception is that you don’t have a specific end time that you have to adhere to, like the outdoor venues, where sound (and your event) must end by 11pm. With a ballroom space you can party til 1 am (or even later), if you’d like!

  • Function Options: Ceremony, Cocktail Hour, and Reception (primarily used for a reception unless there is a weather situation that causes a ceremony to be moved indoors)
  • Cocktail hour and/or reception usage includes whitewashed wood cross back chairs and choice of white, cream, or black linen covered cocktail and/or dining tables.
  • Capacity: Up to 600 guests for a reception
